Follow-up problems rarely begin with a lack of software. They begin when an enquiry arrives without a clear owner, status or next action.
Before automating, define a small reliable loop:
- Every enquiry reaches one visible capture point.
- One person or Hat is responsible for the next action.
- The next action and due time are explicit.
- The outcome is recorded: reached, waiting, booked, unsuitable or closed.
- The business reviews missed or delayed follow-up each week.
Automation becomes useful after the loop is understandable. It can remind, route and reduce repetition. It should not make an unclear process harder to inspect.
The aim is a business that responds reliably without depending on one person remembering everything.
