Follow-up problems rarely begin with a lack of software. They begin when an enquiry arrives without a clear owner, status or next action.

Before automating, define a small reliable loop:

  1. Every enquiry reaches one visible capture point.
  2. One person or Hat is responsible for the next action.
  3. The next action and due time are explicit.
  4. The outcome is recorded: reached, waiting, booked, unsuitable or closed.
  5. The business reviews missed or delayed follow-up each week.

Automation becomes useful after the loop is understandable. It can remind, route and reduce repetition. It should not make an unclear process harder to inspect.

The aim is a business that responds reliably without depending on one person remembering everything.
